POSITION DESCRIPTION
- Develop and implement a strategy for the operation of the Document Management Centre , including the Main Office and University of Lodz Archives
- Developing the organisation's documents management policy, including procedures, guidelines and standards.
- Monitoring compliance with legislation relating to documents and archiving.
- Organising the work of the Main Office of the UŁ, including managing the circulation of documents (traditional and electronic).
- Controlling the receipt, registration, distribution and archiving of current documents.
- Ensuring the security of processed data and documents.
- Supporting the implementation of modern tools and systems for records management.
- Supervising the University of Lodz Archives, in particular:
- Managing the storage, selection and transfer of documentation to the archive.
- Planning and organising the process of discarding documents in accordance with current legislation.
- Keeping records of archival documents and making them available for use by organisations or authorised institutions.
- Coordinating cooperation with other departments in the organisation with regard to documents management.
- Maintaining contacts with external institutions such as state archives, auditors or inspection bodies.
- Representing the Document Management Centre within the organisation and externally.
- Regular monitoring of processes related to the circulation and archiving of documents.
- Preparing reports on the implementation of activities and the status of records in the organisation.
- Promoting an organisational culture oriented towards effective document management and care for their archival value.
- Updating procedures in response to changes in regulations.
